Player terms and app licence

Parties and acceptance

These terms are between you and Quoll-Q Ltd, registered in England and Wales under number 16375732, whose registered office is 17 Glendower Road, London, England, SW14 8NY, trading as Quoll-Q. Contact us at quollqad@gmail.com or our registered office. Effective date: when published; version 1.9. You accept these terms when you actively agree during registration. You can download and keep them. If you do not agree, do not create an account or enter a race.

Our contract includes these terms, the race rules, reward terms, safety acknowledgement and complaints and refund policy made available before acceptance. The event information accepted before entry supplies the particular race conditions. It cannot remove your statutory rights or introduce undisclosed fees. We explain our use of personal data in a separate privacy notice.

Who can use Quoll Q

You must be aged 18 or over. Parental permission does not create an exception. Give your accurate date of birth and keep your account details accurate and secure. Do not lend or share your account, use another runner’s identity or let anyone record races for you. Tell us promptly if you suspect unauthorised use. Registration uses an age declaration; it is not independent age verification. If credible concerns arise, we may request proportionate evidence through a secure process and restrict participation while reviewing eligibility. Do not email identity documents unless we have provided an appropriate secure method.

The service

Quoll-Q provides app-based outdoor running challenges, results and the rewards described for each eligible event. Player access and Live and Leg-it participation are free at launch, with no paid player membership. The pre-entry screen identifies distance, start and finish conditions, checkpoints, eligibility, closing time and reward offer. Participation does not guarantee a particular finishing position. Player-to-player messaging is not available.

We provide the service with reasonable care and skill. Required device, operating system, data connection, location permission, compatibility and material limitations are listed in the app and on the Quoll-Q website. Location and mobile connectivity can be inaccurate or interrupted. The map does not certify that a route is open, lawful or safe at the time you use it. We remain responsible for our own legal duties in designing and operating the service.

Safe and fair use

Follow the race rules and safety instructions. Give way to other people and traffic. Do not trespass, cross prohibited land or enter a road or railway unlawfully. Stop or abandon an attempt if conditions are unsafe. Never endanger yourself or anyone else to obtain a time, checkpoint or reward. You must not spoof location, fabricate activity, use prohibited transport, exploit duplicate rewards or interfere with another runner.

App licence and your content

We give you a personal, limited, non-exclusive licence to use the app for its intended purpose while your account is active. Do not copy or exploit our software or branding beyond permissions allowed by law or granted in writing. Third-party software and maps remain subject to their applicable notices and licences.

You retain rights in content you supply. You grant us a non-exclusive licence to store, process and display that content only as needed to operate the features you use, apply your visibility choices, investigate misuse and meet legal obligations. The licence ends when the content is removed, except for lawful retention, existing backups until deletion and material already lawfully shared with others. Promotional use of your identifiable photo or testimonial requires separate permission. Personal-data rights are not transferred by this licence. When you opt to make your race challengeable, its listing is visible to other local players in the app for seven days from publication. Detailed replay access is limited to players who choose to run that exact route. The shared trace covers only the first checkpoint to the finish. At expiry, the listing and shared route disappear from other players’ access, including previous challengers. You can withdraw sharing earlier through the relevant in-app replay control; copies already made by others may remain.

Service changes and interruptions

We may make proportionate changes for safety, legal compliance, security or service maintenance. We explain material changes in advance where reasonably possible. Changes apply prospectively; we do not retrospectively reduce an earned reward or alter accepted scoring to your disadvantage except to correct a clear error, address proven misuse or comply with law, with reasons and a review route.

We may act immediately on an urgent safety or security risk and explain as soon as it is safe and lawful. We will not convert free access into a paid contract without your express agreement to a separate, clearly priced offer. Any future paid offer must explain cancellation and refund rights before purchase.

Restrictions and account closure

We may restrict an affected feature where reasonably necessary to investigate suspected serious misuse, protect safety or comply with law. We will use proportionate measures, explain the reason unless doing so would create a specific legal or security risk, and offer a human review through quollqad@gmail.com. A restriction is not automatic proof of cheating.

You may close your account through the account-deletion control in Settings or contact us. There is no paid player subscription to cancel at launch. We will explain the effect on data and unredeemed rewards before closure. Unrelated, legitimately earned rewards will not be confiscated as a general penalty. Any necessary restrictions and lawful retention will be explained.

Responsibility and consumer rights

We are responsible for loss or damage you suffer that is a foreseeable result of our breach of contract or failure to use reasonable care and skill. We do not exclude liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any liability that cannot legally be limited. Nothing removes your statutory rights relating to services or digital content. Participation acknowledgements do not override this paragraph.

The app is supplied for personal use. We are not responsible for business losses arising from personal use of it. We do not make you indemnify us for all claims arising from a race. Responsibility for a partner’s goods or services is explained in the reward terms, without excluding our responsibility for our own promises or conduct.

Disputes

Contact quollqad@gmail.com to resolve a problem. The complaints policy explains the process. English law governs these terms, subject to mandatory consumer protections that apply where you live. You may bring proceedings in the courts available to you under applicable consumer law; these terms do not require a consumer to use only the courts of England and Wales. There is no compulsory private arbitration clause.

Live and Leg-it race rules

Information before entry

Every entry must display and preserve: event or challenge identifier; mode and distance; opening, start and closing date and time with time zone; start and finish areas; checkpoint count and validation method; completion and time-limit rules; ranking and tie-break rules; team eligibility where applicable; reward conditions; free player entry at launch; and rules version. If any required information is missing or inconsistent, contact support before entering.

Normal Live slots currently planned are 07:30 and 18:30 on weekdays, and 07:30, 14:30 and 18:30 at weekends, in Europe/London local time, including daylight-saving changes. Availability is subject to an actually confirmed event. A listed recurring time alone is not a confirmed race. Changes and cancellations must be communicated to affected entrants.

Starting and completing an attempt

Enter the correct assigned start area within the displayed check-in window. The standard GPS checkpoint rule uses a 25 metre radius, at least 15 seconds of dwell and reported accuracy of 35 metres or better. A disclosed challenge-assist rule may validate between 25 and 100 metres after at least 20 seconds where accuracy is 35 metres or better. QR capture can provide immediate evidence only after valid location checks and remains subject to server verification. Checkpoints may be completed in any order. A Leg-it runner visits the other route checkpoints and returns to the selected start checkpoint; a Live runner completes all five route checkpoints and returns to the separate venue finish anchor.

Use your own running effort. Do not use a vehicle, another person’s activity, simulated GPS or unauthorised assistance to create a result. Normal safety assistance is always permitted; a result affected by it may require review. If a checkpoint is inaccessible, stop, report it through the in-app report route or quollqad@gmail.com and follow official instructions. Do not improvise a dangerous workaround.

Results and teams

Times and progress may be provisional while the system verifies completion. The reward rules below apply only to validated results. A player can earn no more than three rewards from one race: one from each applicable pathway. Live uses Individual, Party and Squad pathways. Leg-it uses Race Type, Party and Squad pathways. Qualification through different pathways may be combined, but a player cannot receive more than one reward from the same pathway for the same race. Gold, Silver and Bronze identify the tier earned through that pathway. Where equal official performances cross a qualifying percentile boundary, the tied players receive the same, more favourable tier. This may result in more than the nominal percentage receiving that tier. An equal Route Rivals time is not a win because the target must be beaten strictly.

Live Individual pathway

Eligible validated finishers in the same Live event occurrence are ranked by official elapsed time. Gold is awarded to the top 10 percent, Silver to players below the Gold band but within the top 20 percent, and Bronze to players below the Silver band but within the top 30 percent. Players outside the top 30 percent receive no Individual pathway reward for that race.

Live Party pathway

Party size includes the player. Every member counted towards the tier must be recorded in the party and finish the same Live race. Gold is awarded for a party of eight or more members, Silver for three to seven members, and Bronze for one or two members. A solo player therefore counts as a one-member party for this pathway.

Live Squad pathway

A squad needs at least five eligible finishers across London in the same scheduled Live time slot on the same event date. Its score is the average official elapsed time of its fastest five eligible finishers in that slot. Squads are ranked against other eligible squads in that London slot. Gold is awarded to the top 10 percent of squads, Silver to squads below the Gold band but within the top 20 percent, and Bronze to squads below the Silver band but within the top 30 percent. Every eligible member of a qualifying squad who finishes a Live race in that slot receives the squad tier, whether or not their time is one of the five used in the average.

Leg-it Race Type pathway

Gold is awarded for a validated win in a Hidden Rival race. Silver is awarded for a validated win in a Visible Rival race. Bronze is awarded for a validated From Scratch completion or a completed, validated loss in either Route Rivals mode. A Route Rivals win requires a strictly faster official time than the applicable target; an equal or slower time is a loss for this pathway. An abandoned, unfinished or invalid attempt earns no Race Type reward.

Leg-it Party pathway

Party size includes the player. Bronze is awarded where at least four recorded party members finish the same Leg-it race. There is no Leg-it Party reward for a party of fewer than four, and this pathway has no Silver or Gold tier at launch.

Leg-it Squad pathway

For each displayed Leg-it week, each eligible squad's score is the average official elapsed time of its fastest five eligible members in the UK-wide weekly pool. Where a member records more than one eligible result in the week, only that member's fastest eligible result is used in the squad's top-five calculation. A squad needs at least five eligible members. Gold is awarded to the top 10 percent of eligible squads, Silver to squads below the Gold band but within the top 20 percent, and Bronze to squads below the Silver band but within the top 30 percent. Every eligible member of a qualifying squad who completes a Leg-it race in that week receives the squad tier, whether or not their time is one of the five used in the average. The app must show the week opening and closing times and the applicable comparison pool before entry.

A short GPS or internet interruption does not automatically abandon an attempt. Stale or inaccurate fixes may be rejected. Offline continuation requires the race pack and start permission to have been prepared in advance; saved evidence is provisional until server validation and does not create a confirmed result or spendable reward. If recoverable local evidence is unavailable after device failure, Quoll-Q may be unable to verify the attempt and will provide a human review route. Abandonment is an express terminal action and an abandoned attempt cannot later be finished. An unfinished attempt does not become a completed result merely because a challenge window or Live slot closes. Live entry is permitted only through the displayed late-entry window and never after the slot closes; late entry does not extend the event end time. A no-show receives no result or participation reward but incurs no additional player charge or penalty.

Leg-it distances are 2 km, 3.5 km and 5 km. Publishing your completed race as challengeable makes its listing visible to local players for seven days from publication. Your valid original time is the first target. A challenger's strictly faster validated time becomes the next target; an equal or slower time does not. The player's Race Type reward is determined only by the mode and the validated win, loss or From Scratch outcome described above. A later challenger does not remove a reward already earned for an earlier completed attempt. No separate reward is earned merely because the original time remains unbeaten for seven days. At closing, the challenge and shared route disappear from other players' access; rewards already earned through the three pathways remain.

Before publication or entry, show the geographic availability, opening and closing time with time zone, Route Rivals mode, current target, applicable Race Type tier and award timing. The comparison uses the current validated best time. A challenger may retry after a failed attempt, but after setting the current target cannot improve their own target until another player beats it. A strictly faster time is required to win. An equal time is a loss for the Race Type pathway and does not displace the current target. Attempts unfinished at closing do not qualify. Invalidated results are removed through the review process without cancelling unrelated valid rewards. Withdrawing the original shared challenge ends future visibility but does not invalidate rewards earned through completed, validated races.

Enforcement and review

We may invalidate a result for an evidenced rules breach or explain why available data cannot verify it. We distinguish a technical failure from deliberate cheating. We can temporarily hold the affected reward while investigating, give the runner a reason and allow evidence and human review under section 05. We correct rankings and reward records when a review succeeds. We do not require unsafe actions to resolve a dispute. A difference in running performance alone does not prove account sharing, an age breach or cheating, and will not by itself cause a ban, disqualification or reward loss.

Rewards and wallet terms

The offer and the issuer

Rewards are personal, non-transferable discount vouchers for eligible food or beverages at participating cafes. Bronze, Silver and Gold describe Quoll-Q-approved offer quality. Within the relevant campaign or offer set, the discount quality must improve with the tier, but Quoll-Q does not promise a universal cash value, percentage or item for a tier. The exact item, discount and any permitted combination with the cafe's own loyalty scheme or other promotion are disclosed before entry or voucher acceptance. Future reward trading or lottery-style swapping is not part of the launch service.

Before entry, show the earning rules, quality criteria, available voucher range, location-assignment method and purchase requirement. You must buy the eligible item and pay its price after the discount. Each voucher states its exact discount, item and variants, assigned branch, opening hours, earning, delivery and expiry times, and support contact. The assigned offer must meet the earned quality criteria. A Leg-it search begins within 2 km of the stored race-finish point, measured as a straight line. Quoll-Q randomly selects among equally eligible cafés with matching current stock within that area. If none exists, Quoll-Q searches outward to 5 km and selects the nearest eligible café with matching current stock. Current stock anywhere within 5 km takes priority over an IOU, even where a closer café expects to restock. Only if that search fails does Quoll-Q compare eligible IOU candidates using confirmed or otherwise sufficiently reliable restock evidence, expected fulfilment time, distance and queue fairness. A future restock is treated as sufficiently reliable only where the café has an accepted stock schedule or equivalent recorded commitment, remains operational and eligible, and has not reported a suspension or failure affecting the expected stock. The search may go beyond 5 km under the further-shortfall process. Expansion does not permit a lower-quality reward or a different Live host. Quoll-Q records the applied allocation-rule version and decision. Its precise weights, thresholds, tie-break calculations, calibration and source code remain proprietary.

Your entitlement arises only when the relevant result has been validated under the published earning rule for that pathway. Live percentile and squad rewards may remain provisional until the applicable event occurrence or time slot is closed and validated. Leg-it weekly Squad rewards remain provisional until the displayed week is closed and validated. Provisional results are labelled. A voucher delivered when earned is valid for 14 days from its recorded earning time, with the expiry date and time shown in the app. For a voucher supplied later to fulfil an IOU, the 14-day redemption period begins only when the IOU is converted into an actual usable voucher and that voucher is delivered to the app. The waiting period must not consume that redemption period. Viewing an already delivered voucher later does not restart its validity. The seven-day challenge expiry does not shorten a voucher's separate redemption period. We preserve the accepted offer and do not reduce its discount or add conditions after it is earned. Validation or delivery delays caused by us will not deprive you of a reasonable opportunity to redeem; we extend affected validity where needed.

Pending rewards and IOUs. If there is no matching usable voucher within 2 km of the Leg-it race finish point, Quoll-Q first searches outward to 5 km for the nearest registered and eligible café with a matching usable voucher. Current stock found anywhere within 5 km takes priority over every IOU candidate, irrespective of whether a closer café expects to restock soon. If no matching usable voucher exists within 5 km, Quoll-Q applies hard eligibility checks before comparing future-stock cafés: a café must be registered and eligible, support the quality earned, have sufficient committed quantity, and have confirmed or otherwise sufficiently reliable future stock. Quoll-Q then compares eligible IOU candidates within the expanded area up to 5 km using reliable restock evidence, expected fulfilment time, distance from the race finish point and current IOU backlog or fairness. Restock certainty is the primary consideration, while the other factors are considered together to keep fulfilment prompt, reasonably local and fair. This means, for example, that a café 4 km away with a highly reliable restock tomorrow may be chosen instead of one 2 km away with a restock expected in six days. The aim is to choose the café most likely to fulfil soon while remaining reasonably local, not simply the nearest café. If the search must go beyond 5 km, Quoll-Q looks for the nearest registered eligible café supporting the earned quality and supplies a usable voucher if matching stock is available or records an IOU if sufficiently reliable future stock is available. The detailed mathematical formula is confidential Quoll-Q know-how; these terms disclose the material hierarchy and factors that affect the player.

Quoll-Q controls reward exposure before entry. A reward-bearing race or challenge may open or remain available only while committed partner stock or an approved Quoll-Q contingency reserve can cover the maximum remaining awards under the published rules. Quoll-Q may pause new reward-bearing entries when that capacity is exhausted. It may still offer a run without a voucher only if the absence of a reward is stated prominently before entry; it must not remove a reward from an entry already accepted on reward-bearing terms. Issuing an IOU is not delivery of the advertised prize and does not permit indefinite deferral. Quoll-Q reviews outstanding IOUs and provides a route to resolve delays at quollqad@gmail.com. If the advertised cafe voucher cannot be supplied, Quoll-Q will offer the prize described or a reasonable equivalent of the same nature and at least the same value, normally within 30 days of the player becoming entitled to it. A shortage of partner stock does not by itself cancel an already earned prize. For a Live host shortfall, the host must first offer an equivalent; if that is unavailable, Quoll-Q arranges an equivalent or better replacement and may recover reasonable evidenced costs from the host under the Partner Agreement.

Redemption

Present your voucher through the authorised app process before paying for an eligible item at a listed branch, within the voucher’s validity and that branch’s stated opening hours. The café applies the stated discount and you pay the remainder. No extra item purchase, membership, marketing consent or separate minimum basket spend is required. Voucher combination with a cafe's loyalty scheme or another promotion is determined by the disclosed offer. Vouchers are personal and non-transferable at launch. Staff verify the voucher and mark it redeemed only when the discounted purchase is completed. Do not give a shop your account password for verification.

If a café refuses a valid voucher, is unexpectedly closed or cannot provide an eligible item, contact quollqad@gmail.com with the voucher reference. We investigate, restore incorrect redemption records and arrange the original discount or a reasonably comparable alternative you accept, considering the item, saving and location. A cafe reaching its weekly replenishment commitment, leaving the scheme or entering a new week does not cancel an earned voucher. Any money actually owed back is addressed under applicable rights; an unused discount does not itself mean you paid Quoll-Q its face value.

If our or the supplier’s failure prevents use before expiry, we will give a reasonable extension or alternative. Where a complaint is raised before expiry, we preserve the disputed entitlement pending resolution. Cancellation of an event does not remove a reward already earned under a different event.

Cafés commit the discount, eligible item and a fixed number of new vouchers to add to its available stock each week. Quoll-Q randomly assigns each café one weekly restock day and time in the Europe/London time zone when its campaign is activated; that schedule remains fixed for the campaign. Each replenishment is additive: unused available vouchers carry forward and the next replenishment does not replace, reduce or expire them. That limit controls new issuance, not redemption of vouchers already earned. Quoll-Q must protect rewards promised to accepted entrants through its allocation arrangements. A capacity shortfall does not cancel an earned reward or permit an undisclosed reduction in the offer.

The wallet

The wallet records earned café discount vouchers and their eligible items, branches, discounts, earning and expiry times, and redemption status. A voucher gives the stated reduction on an eligible purchase; it is not a promise of cash or a free item. The launch reward model contains no purchased wallet balance. No separate general cash-balance, top-up or transfer feature is authorised by these terms. Any future feature requires its own clearly stated terms and appropriate review.

We can correct a duplicate or mistaken credit on evidence, with notice, an explanation and review. We will not debit an unrelated legitimate entitlement or charge a payment method without a contractual and lawful basis. Where the service closes, we will explain how existing entitlements will be honoured or otherwise resolved before discontinuation, except where urgent legal action prevents advance notice.

Participation safety acknowledgement

This acknowledgement accompanies the terms and the operational safety arrangements.

“I understand that Quoll-Q involves outdoor running on routes that may include shared public spaces and road crossings. I will obey access restrictions and traffic rules, give way to others and stop if conditions are unsafe. I will check that the activity is appropriate for me and seek advice if unsure. I understand that GPS, maps and mobile reception can be inaccurate. I will never take a risk to reach a checkpoint or protect my time. I know the event’s emergency and reporting arrangements. This acknowledgement does not waive my legal rights or Quoll-Q’s responsibility for negligence.”

Emergency information shown alongside: call 999 or 112 for an emergency in the UK; do not rely on the app for emergency rescue. Quoll-Q monitors the support channel from 07:00 to 19:00 and throughout scheduled Live events. Either Iain Saka Simmons or Thomas Keith-Hill is the named on-duty contact for each Live event. Quoll-Q does not provide first-aid or medical supervision; call 999 or 112 for an emergency.

Cancellation, refunds, complaints and appeals

Cancelling or changing a race

We may stop, postpone or cancel an unsafe, inaccessible or technically unworkable race. We will communicate the decision promptly and explain what happens to attempts and rewards. Player entry is free at launch, so there is no Quoll-Q entry fee to refund. This does not remove other remedies required by law or our commitments concerning earned rewards.

If you cannot attend a Live race, withdraw through the event registration control where available. A no-show receives no result or participation reward, but there is no player cancellation charge or separate penalty at launch. Any effect on attempts or reward eligibility must be explained before entry. Future paid bookings require separate reviewed booking and cancellation terms.

Complaints and reward problems

Send your account or reward reference, what went wrong and your requested outcome to quollqad@gmail.com. Do not send passwords, identity documents or unnecessary medical information. General service standard: acknowledge within two working days and aim to give a substantive outcome within 10 working days, or explain the delay and a revised date. Urgent safety reports: quollqad@gmail.com, monitored 07:00 to 19:00 and throughout scheduled Live events. For immediate danger call 999 or 112; email is not an emergency service.

When a consumer dispute reaches deadlock, Quoll-Q will explain the available legal and complaint routes. Quoll-Q has not committed to a voluntary alternative-dispute-resolution provider at launch and will not imply otherwise. This does not restrict any mandatory redress route or the player's right to pursue a claim.

Results and account appeals

For race-result and other account decisions, request review within 14 days where possible. For an age-eligibility decision, request human review within 30 calendar days at quollqad@gmail.com; our response target is five working days after sufficient information is available. We consider reasonable late appeals; these targets do not remove statutory rights. Supply relevant references and evidence. A reviewer considers your explanation, corrects mistakes and gives reasons. Where practicable, someone independent of the original decision reviews it. A purely automated rejection does not complete an appeal.

Refund processing

No Quoll-Q player fee is charged at launch. If money is nevertheless owed back to you, we use the original payment method unless another lawful method is agreed, without a refund administration fee and within applicable statutory deadlines. A separate purchase from a reward supplier follows the applicable offer and consumer rights; free app access does not mean every supplier product is free.

Website terms of use

These terms govern access to quoll-q.com, the Quoll-Q app and the linked Partner Portal, operated by Quoll-Q Ltd, company number 16375732, registered office 17 Glendower Road, London, England, SW14 8NY. Contact: quollqad@gmail.com. Version 1.9; effective when published. Player services are governed by the player terms. A partner’s commercial obligations arise under its accepted Partner Agreement and orders, not merely by visiting the website. Free player access does not set or waive partner commercial fees.

Use the websites lawfully. Do not attempt unauthorised access, misuse credentials, upload malicious material or interfere with the service. We may restrict access proportionately for a security threat or material misuse and offer a review contact at quollqad@gmail.com.

Partner account applicants must provide accurate business and authority information. Registration or approval does not guarantee a campaign, winning bid, race assignment, reward allocation, sales or visitor numbers. Only the documented acceptance and assignment process creates the relevant commercial commitment.

We use reasonable care to keep information accurate and correct material errors. Published marketing summaries do not override an accepted order or statutory rights. We may update general website material prospectively. A change to these terms does not silently vary an existing partner contract.

Website text, branding and software belong to their owners. You may view and make reasonable internal copies for evaluating Quoll-Q. Further commercial use requires permission or a legal exception. Partner content is used under the brand licence. Third-party links are provided for convenience and are not a guarantee of the linked service.

Nothing limits liability that cannot lawfully be limited, including death or personal injury caused by negligence or fraud. Applicable consumer protections remain available. Business users’ commercial liability allocation is in the Partner Agreement. English law applies subject to mandatory rights, with courts available under applicable law.

Privacy and cookies are explained at the Privacy and Cookies pages linked from the app and quoll-q.com. Website accessibility contact: quollqad@gmail.com.

Accessibility

We want people to be able to use Quoll-Q and understand its race information. Contact quollqad@gmail.com if you need an alternative format or adjustment, giving only the information needed to understand your request.

Implemented display preferences include light and dark appearance, large and extra-large text, reading spacing, colour-vision profiles and reduced motion, with browser tests covering preference application, persistence and reset on selected screens. Selected keyboard flows, focus states and accessible names are tested. Quoll-Q has not completed a whole-app keyboard audit, WCAG contrast audit or dedicated VoiceOver or TalkBack assessment, and does not claim a WCAG conformance level. Caption support is not currently verified. Reasonable alternative formats and assistance can be requested at quollqad@gmail.com.

Outdoor locations vary in surfaces, gradients, crossings, lighting and access. Each event should disclose relevant conditions before entry. We assess reasonable adjustment requests individually, including their safety and fair-competition implications, and explain available options. This notice does not replace our duties under applicable equality law.
